STEP 1: CREATE FIVE SUB-COMMITTEES

Select one person to coordinate each sub-committee.

Key-to-the-Closet

This coordinator has good connections to solicit lot donations.

Great lot displays hugely affect revenue. This coordinator works with a Lot Display coordinator to present content.

Wall of Wine

This subcommittee pulls together the wine for this fundraising element (not really an auction lot, not really a raffle, it's its own beast).

Silent Auction Lots

Gather 20-30 lots (suggested minimum value of $100 and max $1,500).

The Revenue goal is $8,000-$15,000.

There are some amazing technologies and companies available to help run your Silent Auction. Using them makes sense if you are confident you will raise over $10,000. We are excited about Auctions By Cellular, which is similar to BidPal but much more affordable. For their fee, they also provide staff to man the check in table, can pre-promote lots, have a full website that contains all the auction lots and allows people who are not at the event to bid on items as well as people to see the items before the event, can do the Fund-A-Cause (Cash Call) with a big screen and listing the names of the bidders on the screen, and have a ticket sales platform. What we like about them is they increase bidding and sales prices, which more than offsets their fee. Also, since guests can check their bids on their smart phones, they are no longer tethered to the auction tables; they can be out having a great time!

In addition to normal auction duties (accumulating items, displaying them, managing bidding) this coordinator manages the distribution of winning lots.

This coordinator has good connections to solicit donations and is expected to work with their committees' connections as well. This person needs to make sure the ask is made and cannot be shy or passive.

Lots Display

Great displays hugely affect revenue.

Each Live or Silent Auction Lot Coordinator collaborates with the Lot Display Cordinator to ensure that the lots are presented in an attractive way to guarantee maximum bids. It helps if the Lot Display Coordinator has a background in interior design or merchandising.
