STEP 7: LOT COPY AND BID SHEETS

Provide well-detailed
lot descriptions in event programs. Many guests who intend to bid read these thoroughly before the auction begins. If the auctioneer forgets to mention a key component, or if the winning bidder thought the lot included something it didn’t, it will be in writing.

The value of the lot rises when the guests are reminded that a lot is a “once in a lifetime opportunity that is not open to the general public” and “cannot be duplicated.” This language is essential in describing the hospitality lots.

Begin the bidding at 50-60% of the lot’s value. Be sure to list the real value on the display.

STEP 8: THANK YOU NOTES

Don’t neglect to send out thank you notes to all of your donors! It means a lot to them and could make all the difference for next year’s donations.

Group: Once you have collected a lot of donated auction items, you’ll want to group things together. Which items go best in Key-to-the-Closet? What works together as good packages for the Silent Auction, etc.

Track: Again, don’t lose your lots! Continue organizing them in a spread sheet.
